Microsoft Project Online vs. Project for the Web – Which should you use in 2025?

Project Online – that sounds solid at first, doesn’t it? But is the tool still worth using nowadays, or is it more of a relic of bygone IT days? If you are currently considering how you can modernize your project planning, then read on.

Is Project Online still usable?

In short: Yes. You can continue to use it.
Microsoft has not discontinued the tool, but it is clear that the journey is going somewhere else.

Project Online is technically based on SharePoint Online – powerful, but also somewhat bulky and not particularly modern to use. For existing customers, there is (still) no reason to panic. New features? Not a chance. New customers? Microsoft prefers to send them directly to Project for the Web.

The future: Project for the Web

With Project for the Web, Microsoft is delivering a fresh tool that is perfectly integrated into the Power Platform – i.e. Power Apps, Power Automate and Dataverse. This not only makes project management more visual, but also more flexible and easier to automate.

Advantages at a glance:

  • ✅ Modern surface
  • ✅ Integration in Microsoft Teams
  • ✅ Automations with Power Automate
  • ✅ Scalability through Power Platform
  • ✅ Perfect for small to medium-sized project teams

Of course, anyone who needs complex PMO structures or in-depth reporting tools is currently better served by Project Online – but for how much longer?

Custom solution with Dataverse: Tailor-made for your project planning

If you are looking for a modern yet highly customizable solution, Olbricht IT can also develop your own project platform based on Microsoft Dataverse.

This solution can map complex resource planning, capacity utilization, role distribution and individual workflows – and thus replaces even extensive Project Online scenarios that would otherwise be almost impossible to migrate.

The advantage: full control, integration in Microsoft 365, and at the same time future-proof thanks to the Power Platform.

Our expert Sven Noske will be happy to advise you on what such a solution could look like – including a feasibility analysis and pilot project.

Microsoft itself says: Switch today rather than tomorrow

“For new Project implementations, we recommend using Project for the Web.
– Microsoft, 2025

That says it all: If you are starting out or modernizing today, then plan directly with Project for the Web – or with an individual solution based on Dataverse – because Project Online is a discontinued model.

What does that mean for you?

If you…

  • currently using Project Online → Think about a migration strategy.
  • want to restart → Go directly to Project for the Web with Power Platform or a customized solution.
  • don’t know which tool suits you better → Let’s talk.
