Manage profiles or identities in Outlook for Mac

If you use Outlook 2016 for Mac in more than one role, e.g. for your personal life and for work, you can use profiles to set up Outlook to handle these different functions. A profile is linked to and stores a range of email messages, contacts, tasks, calendars, account settings, scrapbook clips and more.

Note: In Outlook 2011 for Mac, profiles were referred to as identities.

The Outlook Profile Manager (formerly known as the Microsoft Database Utility) is installed as part of your Office installation and allows you to create new profiles, edit or delete profiles and set your default profile. When you open Outlook, it always uses the default profile.

Important: If several people use the same computer, Outlook profiles do not offer as much privacy as separate user accounts in Mac OS. Outlook profiles do not offer password protection, and Spotlight searches from the Finder will find Outlook items from all profiles in the current user account. Further information on creating user accounts can be found in the Mac help.

Add, change or delete a profile

  1. Open the application folder in the Finder .
  2. Hold down the Ctrl key or right-click on Microsoft Outlook and then select Show package contents.
  3. Contents open> SharedSupport and then start the Outlook Profile Manager.
  4. Carry out one of the following steps:

Create a new profileSelect the Create new profile buttonAdd and then enter a name for the new profile.
Rename a profile

Double-click on the profile and then enter a new name for the profile.

Delete a profile

Select the profile you wish to remove and then select the Delete selected profile button fromDelete.

Change the default profileSelect the desired profile and access Set default profile atAction pop-up menu and select Set as default. Restart Outlook for this change to take effect.
